The successful candidate will support the efficient processing of incoming customer orders while ensuring that orders are captured accurately, processed on time and fulfilled in accordance with company procedures.
The Orders Clerk will play an important role in the customer service and warehouse operation by maintaining accurate order records, checking product availability and communicating with customers and sales representatives. The position requires a hardworking, dedicated and detail-oriented individual who can work with speed and accuracy while maintaining a high standard of customer service. Key Responsibilities
- Accurately process all incoming customer orders.
- Ensure orders are processed on time and in full according to customer requirements.
- Maintain accurate records relating to customer orders and ensure all relevant procedures are followed.
- Check inventory records to determine the availability of requested products.
- Identify out-of-stock issues and escalate them to the appropriate personnel.
- Investigate and assist with resolving out-of-stock concerns where required.
- Identify shelf-life issues and escalate or resolve them in accordance with applicable procedures.
- Inform customers and sales representatives about order information by email or telephone.
- Communicate product availability, unit prices, expected delivery dates and anticipated delays accurately.
- Provide customers and representatives with timely updates regarding the status of their orders.
- Receive and respond to customer complaints in a professional and courteous manner.
- Investigate customer concerns and assist with appropriate resolution.
- Process credit notes accurately and within the required timeframes.
- Ensure customer and order information is captured correctly to minimise errors and delays.
- Communicate clearly and professionally with customers throughout the order process.
- Maintain effective communication between the customer service function and other departments.
- Liaise with supervisors and managers regarding order-related matters and operational issues.
- Follow company procedures and ensure that required administrative processes are completed correctly.

- Assist with stock-taking activities when required, including monthly stock takes that may take place on a Saturday or Sunday.

Requirements and Skills
- Matric or Grade 12 is required.
- Computer literacy is essential.

- Experience with Syspro will be advantageous.
- Previous experience in the FMCG or food industry will be advantageous.
