Primary Responsibilities:
Include, but are not limited to:
Reception:
- Front desk reception
- Answering Switchboard and redirecting calls
- Screen manager’s calls
- Manage staff parking bays & update lists
- Book visitors parking
- Receive visitors & offer refreshments
- Ensure the Main Entrance / Reception Desk & waiting area is kept neat & tidy
- Order or buy flowers for the reception desk
- Manage boardroom bookings
- Liaise with courier services for deliveries and collections
- Manage documentation for all postage eg courier services & registered mail
- Co-ordinate / manage the receipt of deliveries and collections of all office equipment / supplies etc.
- Support security policy with regards to visitors signing in when entering and exiting the building and notifying the facilities manager of any irregularities
- Ensure biometrics is done correctly and done for new staff
Office Support:
- Assisting with and / or Coordinating staff events
- Co-ordination of activation packs of new recruits
- Assisting with ad hoc HR tasks & projects
- Assisting with general ad hoc Office tasks & projects
- Asset tagging
- Monthly stock take
- Ordering of all groceries and equipment needed for the office monthly
- Order and distribute stationary to staff
- Procurement
- Payments
- Petty Cash
Facilities:
- Direct and co-ordinate maintenance activities
- Meet with service contractors and vendors regarding the negotiation of contracts
- Coordinating emergency procedures with Management
- Co-ordinate all aspects of Health and Fire Safety in accordance with OHASA
- Optimize the utilization of office space
- Responsible for co-ordination of events
- Project manage all building developments
- Responsible for issuing of office access
- Assist with implementation of disaster management processes and procedures
- Assist with the procurement function
- Ensure security of building
- Be available for emergency call outs as required
Recruitment & Selection:
- Set up and seat all interview candidates for assessments and pitches
Requirements
- Professional and very well presented.
- Well groomed & portrays a stylish image.
- Articulate in English and Afrikaans (Read, write & well versed)
- Meticulous with great attention to detail and accuracy
- Deadline driven and works well in a highly pressurised environment
Knowledge, Skills & Experience
- 12-24 months experience in a similar role
- Proven ability to deliver the desired business goals
- Proven ability to work in a dynamic and fast paced environment
- Proficient in MS Office, Outlook, Internet Explorer
