Marketing Assistant Wanted At The Crazy Store

The crazy store is looking for a marketing assistant who will ensure that all campaigns and projects run smoothly. The successful incumbent will be assisting in the co-ordination, implementation and execution of marketing across retail and two wholesale operations. He/she will be reporting to the Marketing Officer.
Educational qualifications:
- Grade 12
- Completed marketing diploma (e.g. IMM, Btech marketing) advantageous and preferable
Experience:
- One year’s experience in a similar role or at least two years’ experience in an administrative capacity
- Highly advantageous: marketing experience in a retail company

Other Requirements:
- Must be in possession of a valid drivers licence and own car
- Will be required to work overtime from time to time as required due to deadlines driven environment
Key Responsibilities and Duties:
Managing and liaising with advertising agency with regards to the briefing of projects and promotions:
- Brief preparation and compilation for retail projects and promotions
- Creating and implementing of CPAs across retail brands both internally and externally
- Ensuring that all departments (internally and externally) are aware of the projects and promotions underway, as well as their involvement thereof
- Managing project and promotion deadlines
- Providing key feedback to agency with regards to projects and promotions
- Managing weekly status meetings with agency
Traffic management and deadline compliance both internally and with all external agencies and suppliers
- Ensure all timelines and project milestones are adhered to (promotions, events and store openings)
- Traffic all jobs both internally between the marketing department and the promotions department as well agencies and suppliers to ensure timely sign-off, compliance and accuracy
- Keep records of all artwork at various sign off stages
- Track and communicate all promotions production and delivery schedules with internal divisions and suppliers
Store marketing communications and co-ordination
- Assist in drafting necessary marketing memos to stores
- Photograph and compile visual aids and marketing POS for store memos as required
- Assist in dressing stores with POS for marketing manuals and memos
- Liaise with shopping centres regarding marketing opportunities for new store openings
- Handle store queries for additional marketing collateral and fixtures/fittings
- Field store marketing queries and requests as necessary
Promotions coordination and implementation
- Quality control check all marketing point of sale and collateral prior to dispatch from HO
- Compile competition hampers and arranging fulfilment of prizes with stores and customers
- Liaise and assist with managing outside suppliers, agencies and printers by obtaining quotes, placing orders, checking on job status, ensuring timely delivery, and verifying receipt of correct marketing collateral
- Prepare status reports on all marketing campaigns and projects
- Assist in compiling action plans for store/centre/regional advertising, and take ownership of co-ordination and implementation thereof. Perform follow up QC on these activities
- Advise digital and PR coordinator once promotional elements have been approved for implementation across social media platforms
Assist with trade shows and events
- Draw up action plans and timetables for projects as needed (including trade shows, CSI projects and brand events)
- Assist in coordinating and setting up these events
Responsible for all marketing department general administrative duties:
- Filing of all cost estimates and invoices from suppliers
- Updating all records and guard books relating to campaigns-design elements, layouts, meeting minutes, etc.
- Updating competitor marketing files
- Take minutes of meetings and distribute accordingly
- Internal stationery and business cards fulfilment
- Set up all necessary meetings with suppliers, agencies and outside parties as required
- Sourcing and ordering corporate stationery and gifts
