Job Overview

The Clinic Receptionist is responsible for managing front desk operations within the clinic and supporting patient care processes. You will handle patient registrations, manage appointments, and ensure all records and documentation are accurate and up to date. The role also includes answering calls, assisting patients with enquiries, and ensuring smooth communication between patients and clinic staff. You will be expected to maintain confidentiality, follow strict procedures, and provide excellent service to every patient. This position plays a key role in ensuring the clinic operates efficiently and delivers quality care.

Key Responsibilities

• Register patients according to clinic procedures and standards
• Assist patients in completing medical and insurance forms
• Manage appointment scheduling and patient flow
• Maintain accurate patient records and files
• Answer incoming calls using professional telephone etiquette
• Provide accurate information to patients and callers
• Take and transfer messages to the correct departments
• Assist walk in patients and guide them to the correct services
• Process medical aid payments and assist with authorisation queries
• Ensure reception area is clean, organised and confidential
• Follow up with patients regarding feedback or enquiries
• Support emergency response procedures when required
• Maintain clinic stationery, equipment and administrative supplies
• Ensure compliance with all clinic policies and procedures

Requirements And Skills

• Grade 12 (Matric)
• Strong communication and interpersonal skills
• Ability to work under pressure in a busy environment
• Good telephone etiquette and customer service skills
• Strong organisational and administrative ability
• Attention to detail and accuracy in data entry
• Ability to follow instructions and procedures
• Basic computer literacy
• Professional attitude and appearance
