Job description
REQUIREMENTS:
Matric – essential
Willing and able to wear full Islamic wear to work – (Islamic environment)
Secretarial qualification – advantageous
At least two to three years corporate reception experience
Very well spoken in English and Afrikaans
Computer literacy in Excel, MS Word
Must be a South African national
Self motivated and proactive
Able to work well under pressure
Strong administration skills and ability to run the front of house
Smart and well presented
Maintain a high standard of customer service
Requirements
Main responsibilities:
Reception duties
Receive visitors at the front reception area
Coordinate bookings for the meeting centre and ensures that refreshments are arranged for guests accordingly
Monitors the front entrance of the building and observes any suspicious behaviour or activity and informs the line manager accordingly
Maintains the switchboard of approx 50 extensions
Receives hand deliveries/courier parcels and informs the relevant staff accordingly
Maintains a visitors register including visitors cards
Directs visitors to the appropriate person/meeting room
Administration
Attends to all procedures relating to estate late accounts and Release and indemnity
Attends to weekly payment of office expenses.
Attends to all FAEF applications, redemptions and queries.
Sorts and distributes all incoming mail and prepares all Branch outgoing mail
Issues bank cheques at client’s request
Orders all branch stationery needs
Completes monthly branch gift register to head office.
Provides a back service to the enquiry counter during lunch hours.
Attends to all procedures relating to return mail
Reliable with good timekeeping
