Applications Open for A Payroll Supervisor At Ackermans. This role is based at the Support Centre in Kuils River, Cape Town.

Duties

  • This role will be responsible for managing the Weekly Payroll Process as well as the Payroll Reconciliation Function.
  • The Payroll Supervisor maintains procedures aimed at ensuring efficiency in all aspects of salary payment administration. This includes preparation, documentation and disbursement of employee payments, third party benefit provider payments and payroll taxes.

Key Responsibilities:

1) Payroll Administration

  • Processes weekly payroll (Full payroll function).
  • Check and approve on-line (manual) payments outside of the formal payment processes on an adhoc basis.
  • Authorization of the ACB/bank files (weekly) for South Africa and foreign countries.
  • Assists Weekly Payroll Administrators with escalated queries on the payroll that they are accountable for.
  • Ensure that the Payroll department is compliant with adequate record keeping (filing) and that any proof requested by the auditors is easily retrievable.
  • Ensure that weekly reports are communicated to business as per agreed timelines.

2) Manage Payroll Reconciliations Function 

  • Prepare reconciliations to reconcile various Balance Sheet Accounts for review by Payroll Manager.
  • Resolving outstanding items.
  • Trial Balance Checklist.
  • Payroll system journals.
  • Process Payments.
  •  Submissions – Monthly & Bi-Annual.

3) Payroll Input

  • Ensure that all transactions (on-boarding and movements) approved on the payroll apps is processed accurately.
  • Ensure that time captured on time app is approved and imported to payroll.
  • Ensure all 3rd party bulk uploads are processed.
  • Changes in processes or where nonpayment is to take place, needs to be communicated to all stakeholders in a timely manner.

4) Payroll Compliance 

  • Assist with ensuring that we maintain compliance with various tax agencies in paying over the correct tax for employees.
  • Ensure that across all countries the necessary statutory deductions are applied.
  • Ensure that the organisation is compliant with the minimum wages as per legislation.
  • Ensure that the ETI calculation is applied as per legislation.
  • Assist in ensuring that the organisation is compliant with the current and changing taxation laws, with a specific focus on the changes that are pronounced annually in all 5 trading countries (new tax tables, medical tax credit changes etc).

5) Stakeholder Management 

  • Ensure that the Payroll department receives a payroll scorecard feedback score from the business of 75% plus (Weekly Team).

6) Payroll System

  • Ensure that the company trading calendar is updated annually on the Payroll System and all Payroll supporting Apps.
  • Ensure that new Payroll components are created as per the requirement and linked correctly to general ledgers and correct tax codes.
  • Manage Payroll runs, the ability to create interim runs and the monthly close off per pay period.
  • Update and linking of profiles to the General Ledger
  • Extract and Posting of General Ledger to Financial system

7) Payroll System Project Management 

  • Ensure the Payroll System related projects which directly affect the payroll payment processes, is accurately and effectively executed.
  • Assist the HRIS team in testing of Payroll apps enhancement features.
  • Implementing remedial action when adverse audit findings, processes or controls regarding the payroll processes are identified.
  • Identify and recommend opportunities for system simplification/improvements or enhancements.

8) Team Management 

  • Ensure that the Payroll team members achieve the required feedback scores.
  • Ensure planning, organizing and supervising of the Payroll team members performance , recruitment, communication & career development

Qualifications required:

Essential:

  • Certificate or Diploma (Finance)

Preferred:

  • B.Com accounting Degree or any other relevant degree.

Experience Required:

Essential:

  • 5 years of relevant Payroll experience, including reconciliation experience
  • Administrating a large volume of Payroll.
  • 2 or more years leadership experience.

Preferred:

  • 3 -5 years of integrated Payroll systems experience.
  • Experience in tax legislation in other African countries.
  • Experience in executing Payroll for other African countries.
  • Weekly Payroll experience

Knowledge:

  • Payroll systems experience.
  • Knowledge of full Payroll function, including Payroll capturing and reconciliation.
  • Expert Knowledge of BCEA,PAYE, UIF, Skills Levy Act and ETI.
  • Working knowledge of integrated payroll.
  • Basic knowledge of financial administration.
  • A good understanding of Accounting principles.
  • Understanding of tax and labour legislation.
  • SAP Finance module.
  • Payspace
  • Review financial postings- Understanding account structures and clearing of accounts
  • Assist with internal and external Audits
  • Provision for Leave calculations
