Job description

A well known property group is looking for a marketing coordinator to join the team.

This person is primarily responsible for supporting the marketing/leasing efforts of the brokerage team. The challenges of the position will be dealing with multiple priorities, and being aware of and responsive to the demands of a multi-person team. The position will be fast-paced, handling many issues concurrently, which are often time-sensitive and/or confidential.

Position responsibilities:

  • Prepare/draft essential documents including marketing flyers, lease proposals, listing and various documents including listing/co-brokerage agreements.
  • Creation, coordination and supervision of marketing, including marketing signs, flyers, and other marketing branding carried out internally by the property team.
  • General administration functions such as database management, coordination of and daily communication with landlord and tenant brokers in connection with daily leasing activities at the properties.
  • Creation of tour books, stacking plans, and other miscellaneous documents.
  • Provide full administrative support for the team.
  • Assist team in various ad hoc/special events and projects, e.g. events, department events, planning/meetings, etc.

Experience: 

  • Bachelor’s degree from a college or university, related experience and/or training or equivalent combination of education and experience.
  • Minimum of two years’ experience in the administrative function and related business experience.
  • Proficient in Excel, Word and Outlook.

Preferred:

  • Acrobat, PowerPoint and Photoshop with an ability to readily learn other computer platforms.
  • Social media experience, a plus.
  • Professional understanding of commercial real estate terms an advantage (base rent, gross rent, modified gross, loss factor, etc.)
  • Excellent written and verbal communication skills, including word processing, proof reading and accurate spelling.
  • Committed to production of timely, high quality, and accurate work.
  • Ability to support a multi-person team, including work well under pressure, prioritise, and meet deadlines.
  • Enthusiastic and positive attitude.
  • Team player and eager to support all members of the team.
  • Strong initiative and focus on customer service.
  • Detail oriented with strong organisational skills.
  • Good deductive reasoning skills.
  • Ability to interact with co-workers and other divisions in a professional and collegial manner.
  • Ability to exercise discretion when dealing with confidential information.
  • Obtain contact information on persons or companies the property team would like to reach.
  • Locate opportunities for listings, sales, development, and tenant/buyer representation.
  • Extract pertinent information from publications, marketing materials and online sources.
  • Compose and type internal correspondence to firm brokers on research results.
  • Create and promote social media presence for individual brokers as needed.
  • Provide project coordination and support to brokers, other duties as assigned.
  • Modify legal documents such as listing agreements.

Requirements

  • Commercial real estate knowledge and experience is preferred.
  • Strong computer skills, specifically with the internet, social media and MS Office.
  • College degree and minimum of one year relevant work experience required.
  • Bachelor’s degree from a college or university, related experience and/or training or equivalent combination of education and experience.
