• Grade 12
• Computer skills, customer service etc
• 2 years’ experience as a receptionist
• MS Office
• English, Afrikaans
• Drivers Licence
• Minimise daily costs and wastage (e.g. use of equipment, stationery, etc)
Description:
• Build and maintain strong relationships with internal and external customers by professional conduct, diplomatic communication, follow ups and delivering quality work
• Proactively deal with internal and external customers telephonically or face-to-face to ensure that issues are resolved and relationships strengthened
• Receive and direct customers and visitors in a professional and courteous manner
• Adhere to all company policies, such as dress codes, in all activities
• Operate the company SWB by answering calls, screening them and directing them to the appropriate person or department professionally and promptly
• Take messages when required and distribute them to the appropriate person
• Provide callers with required information timeously and deal with queries
• Ensure knowledge of movements and extension changes within the company and ensure that telephone extension list is updated and distributed regularly
• Ensure that all customers and visitors are admitted professionally using the current systems and processes
• Ensure the reception area is neat and tidy, and arrange for cleaning services if required
• Adhere to company security policy when admitting customers and visitors
• Receive, check and distribute incoming mail
• Prepare outgoing mail
• Receive and notify recipients of deliveries from various couriers when required
• Assist with administrative and clerical duties (faxing, scanning, photocopying, emailing)
• Type documents and capture data accurately and within deadline
• Complete filing accurately and regularly
• Ensure adequate supply of stationery and other operational items (such as parking passes)
• Purchase and control of cleaning products and general groceries for the company
• Ensure that office tools are effectively used
• Adhere to all company rules, policies and procedures
• Perform any reasonable ad hoc tasks and duties required by management
• Cooperate and work with others in pursuit of team goals
• Continuously support effective teamwork within the company
• Develop competencies and skills in order to perform role optimally
• The ability to form relationships to promote productivity and efficiency in the work environment
• The ability to communicate professionally in order to build and maintain relationships
• The ability to perform tasks within pre determined timetables and specifications in the work environment
• The ability to pay attention to detail to ensure that work is completed correctly to achieve quality standards
