Vacancy: Medical Office Admin Assistant
All administrative duties in support of a Plastic and Reconstructive Surgeon’s practice including (but not limited to):
- Front desk management including answering of telephones and screening of Dr’s calls
- Collection of fees for appointments including issuing of invoices and receipts
- Providing quotations
- Creating and maintaining patient files
- Booking of surgical procedures
- Theatre instrument control
- Providing patients with pre-op information
- Pre and post op communication and follow ups with patients
- Arranging of assistants, anaesthetists, pathologists and any supplies for surgical procedures
- Obtaining motivation letters as required
- Handling of patient, medical aid, accounts queries
- Ordering of supplies
- Obtaining patient results e.g. lab, radiology etc
- Coordinating activities with other health care providers
- Documentation for WCA claims
- Preparation of information required by Dr for meetings
- Support for doctor on all aspects of the practice
- Support of patients as required
- Support for all other parties involved with the practice
- Management of petty cash
- Any other administrative duties as required by the doctor e.g. flight & conference arrangements
- Candidate Requirements
Skills required:
- Good organisational skills are essential
- Computer literacy
- Proficient in the use of Microsoft office is essential i.e. Word, Excel, Outlook etc
- The ability to multitask is essential
- People skills is essential in the handling of patients, co-workers, suppliers and providers. Must be a team player
- Strong verbal and written communication skills. Good command of English is essential
- The ability to cope well in a very demanding environment
- The ability to learn and adapt quickly
Experience:
- 2+ years experience in a Surgeon’s office performing duties as per job description is essential. No candidates will be considered without prrof of this experience. References must be supplied
- Experience is a Plastic and Reconstructive surgeon’s office is preferred
- Experience in a practice attached to a large hospital is essential
- Previous nursing experience is preferred
