Vacancy: Receptionist

Overview The Receptionist contributes to the organisational goals by supporting the Front of House Coordinator in ensuring the efficient service delivery of the Front of House area which would include the reception, waiting area and conference centre facilities to produce a first class Visitor Experience.
Duties & Responsibilities •Welcoming clients in a warm and professional manner .Determine nature of visit and name of person they are visiting •If external visitor for meeting in Conference centre contact host and advise of arrival •If a policy related visit  access client’s policy’s and advise  Policy Services of their arrival •If a claim related visit contact the relevant contact person in claims. •Ensure that visitor’s host is contacted to collect visitor fromReception. •Ensuring visitors are kept informed of progress as and when necessary •Arranging  refreshments  for waiting visitors •Being vigilant to ensure that visitor do not go unescorted in building •Operating the visitor access system and ensure compliance at all times •Ensuring that all visitors are registered on the visitor access system and access cards validated for exist •Liaising with Security as and when necessary in relation to visitor parking areas and Reception •Arranging escort for all suppliers who do not have access cards •Recording and sending of accurate telephone messages as required. •Ensure neat and tidy work environment and reception area. •Support Facilities Management team in ad hoc tasks from time to time
Minimum Job Requirements Matric 2-3 years Reception experience Sound knowledge of basic administration and Reception procedures Computer literacy skills Interpersonal skills Communication skills Ability to remain calm under pressure Attention to detail
